A contractor can generate enough leads and still feel like marketing is broken because nobody owns the follow-up.
The fix does not need to be complicated.
Step 1: respond immediately
When a new call or form arrives, assign it to one person or queue. If the call is missed, trigger a text acknowledging the inquiry and promise a call back.
Step 2: qualify the basics
Confirm project type, location, urgency, ownership, insurance involvement when relevant, and the best next step.
Step 3: book the appointment while you have them
Do not end the first conversation with “we'll get back to you” unless necessary. Move the customer to the next concrete action.
Step 4: follow up after the estimate
Use a short sequence: same-day confirmation, a next-day check-in, then additional reminders over the following days or weeks depending on the project cycle.
Step 5: close the loop
Every opportunity should end as won, lost, unqualified, or still open. Otherwise the pipeline becomes a graveyard of forgotten quotes.
Good lead generation creates opportunities. Good follow-up turns opportunities into revenue. Most small service businesses can improve results before increasing ad spend simply by tightening this process.
